Summary

This position is responsible for managing the inventory of the fixed week or whole ownership time share owners at their assigned resort.  They are responsible for building positive, customer service focused relationships with these owners by being the main point of contact for the owners and by accurately and promptly handling all of their inquiries and requests.  He/she will act as the liaison between the owner and appropriate corporate partners to ensure owner satisfaction, room quality and profitability for the both the company and the owner.

 Essential Job Functions

INVENTORY MANAGEMENT

  • Responsible  for assigning daily arrivals
  • Maintains inventory list of units that are added or deleted from the property management program.  Communicates changes to appropriate corporate partners and uploads changes to appropriate inventory management computer programs.
  • Encourages owners at assigned property  to join Wyndham sponsored rental programs

MAINTAIN POSITIVE RELATIONSHIPS WITH UNIT OWNERS

  • Acts as a liaison between unit owner and resort management including engineering, guest services and housekeeping
  • Acts as a liaison between unit owners and corporate departments as necessary to resolve questions or problems
  • Follows COM! principles with owners, guests and colleagues
  • Maintains an up to date working knowledge of all resort amenities

COMPLETE ADMINISTRATIVE TASKS

  • Maintains organized records of all unit inventories
  • Collects appropriate fees from owners, guests or exchanges
  • Maintains rental agreements
  • Maintains updated contact information for all owners
  • Responsible for making collection calls for unpaid fees
  • Other administrative duties as assigned, including Board Relations and Association Governance related responsibilities.

       GUEST SERVICE REP/PERFORMS OTHER DUTIES AS ASSIGNED

Minimum Requirements and Qualifications

State the specific levels of the following that are needed to perform the minimum duties of the position.

a)   Education

  • High School Diploma or equivalent required
  • BA/BS degree preferred

b)   Knowledge and skills

  • Demonstrate the highest level of customer service to current and prospective owners in order to maintain a positive brand image and company reputation
  • Create a positive work environment by maintaining the highest level of ethics and integrity
  • Working knowledge of housekeeping, front desk, maintenance departments
  • Professional appearance and excellent communication skills in dealing with associates, guest and vendors
  • Ability to work under pressure
  • Must have strong organizational and time-management skills 
  • Ability to work a flexible schedule that may include evenings, weekends and holidays
  • Must have the ability to resolve problems/conflicts in a diplomatic and tactful manner

  • Microsoft Office, Excel, Word, Access, Power Point, RCC, I-Hotelier, Focus

e)   Job experience

  • At least 2 years of Hospitality Experience

Unless there is a legal requirement, experience will be accepted for the education requirement.
