POSITION DESCRIPTION

Title: Marketing Operations Minivacations Administration Officer

POSITION REPORTS TO:

Call Centre Operations Manager

POSITIONS REPORTING TO THIS POSITION:

Nil

KEY RELATIONSHIPS:

Corporate Marketing team, External clients- to ensure they receive travel documentation on time and Marketing teams in relevant sites

PRIMARY OBJECTIVES:

As a Marketing Operations Administration Assistant the primary objective of the position is to ensure the ensure all administrative duties for the Minivacations Corporate Marketing team are completed including entering bookings in appropriate databases, accounting is completed as per internal procedures, and documentation sent to guests in a timely manner

PRINCIPAL RESPONSIBILITIES: (Include but not limited to:)

  • Ensure smooth operation of the department from an administrative role
  • Updating and monitoring required reports within timeframes allocated.
  • Ability to be back up for cross check to complete end of month to trial balance stage
  • Process Outbound & Chase bookings into Access & Crosscheck
  • Reconcile daily banking
  • Filing and organizing all paperwork circulated throughout the call center
  • Updating the Internal Positions Vacant noticeboard with all HR related documents.
  • Display innovation through inspiring, creating and improving processes and products. 
  • Show integrity in all aspects of the position by doing the right thing, taking responsibility and delivering on the promise. 
  • Display leadership values by ensuring effective communication and respecting your peers and managers.  Support others within the team and empower each other wherever possible. 
  • Process accommodation enquiries and issue itineraries
  • To make every effort for the department to achieve weekly targets
  • Display a Count On Me! Service to all internal and external parties. 
  • Any other duties as may be reasonably requested by management

KEY POSITION CRITERIA:

  • Exceptional communication skills; (both written and verbal) in a manner that is professional, friendly and clear
  • Ability to build strong working relationships with several teams within Marketing and management
  • Committed to provide excellent customer service at all times
  • Exceptional attention to detail. Must be detailed, accurate
  • Possess a positive, can do attitude with the ability to self-motivate
  • Intermediate to Advanced MS Office skills, particularly Microsoft Outlook, Microsoft Excel, Microsoft Access,
  • Excellent time management, organizational and prioritization skills
  • Knowledge of Cross Check and Sales Force is desirable
  • Ability to work in a fast paced environment
  • Ability to meet time frames and performance standards
  • Ability to manage multiple tasks and be able to think laterally when problem solving
  • Strong time management skills
  • Ability to work with numbers and statistics and be detailed and thorough in the generation of reports
  • Previous experience in Business Administration
  • Previous experience as Reports Analyst
