Wyndham Destination currently seeks an Administrative Assistant I to support Resort Operations at the Club Wyndham Sedona .  Duties and responsibilities include but are not limited to:

Earn an incentive up to $750 

  • Coordinate and administer conference calls, meetings, scheduled appointments and team events.
  • Responsible for processing resort payroll on a weekly basis.
  • Track and ensure board meetings scheduling/communication with all board members and association HOA.
  • Assist with the facilitation of the board member and annual membership meetings.
  • Responsible for Petty Cash bank for accounting as needed. Able to handle numerous cash transactions with accuracy.
  • Assist with reconciling resort financials and preparing monthly reports for Accounting.
  • Able to assist in development and calculations for annual budgets.
  • Order uniforms for all departments.
  • Order and maintain inventory of office supplies.
  • Order and proof printed materials for other departments as needed.
  • Coordinate the transfer of information between departments when necessary (i.e. creating property newsletters or updating company information boards & electronic display boards). 
  • Interact with and maintain a good working relationship with internal and external vendors.
  • Process invoices for payment.
  • Assist Guest Services with guest check-in/out, answering of phones and respond to guest text messages as needed.
  • Assist Activities Department with guest events as needed.
  • Performs other duties/tasks as needed

Qualifications:

  • High school diploma or equivalent.
  • 0-1 years Administrative Assistant experience in a resort setting preferred.
  • High School diploma or equivalent, college preferred.
  • Prior HOA experience preferred.
  • Exceptional Microsoft Office experience (Word, Excel and PowerPoint)
  • Ability to handle multiple assignments and projects
    effectively               
  • Great attitude and willingness to help and assist co-workers. 
  • Strong verbal and written communication skills.
  • Ability to multi-task.
  • Accurate and expedient proofreading ability.
  • Self-motivated to set priorities and work with limited direction/supervision
